Office Assistant III - Columbus and State Regions at Auditor of State - Ohio

Principally, I handle the bidding process of Independent Public Auditor (IPA) services subcontracted for the Columbus Region of the Auditor of State of Ohio through Requests for Propoosals. This requires prompt and accurate work; the position has continually pushed me to create new methods for performing my job duties with ever-increasing efficiency. Regular and quick correspondence with clients and subcontractors (typically on behalf of the Chief Auditor of the Columbus Region), in addition to our two regions’ staff is a must. I have been responsible for management and upkeep payroll and project tracking database records for Columbus and State regions' projects as well as contract clients. I perform invoice verification for billing, as well as input updated budgets and costs for regions' projects using Microsoft GP. I have also been providing assistance in an Administrative Assistant function with the management of state-wide contracting for all nine regions (including the two I currently generate materials for). I manage materials that need supervisory approval by the Deputy Chief Auditor of the State of Ohio, then curate and distribute these records. In addition to corresponding with Auditor regional offices and IPA firms across multiple regions regarding the status of various projects, I track the processing and archiving of contracts for nine regions, and the execution of state-wide Public Records Requests by IPA firms. I manage the IPA Correspondence function and receive and send various communication to Auditor of State subcontractors.

Administrative Assistance for the Clerk of the Bureau at Auditor of State - Ohio

May 2006 - September 2008

This position focused on prompt replies and accuracy. This involved maintaining a spreadsheet of records and communications submitted as well as publishing a weekly digest of these materials in addition to developing and implementing an archival strategy for these materials. My initial and most constant role for this position was managing submissions to the `Submit to Clerk' email account where auditors submit all audit reports of entities ready to be processed and released by our office. I generated a daily `Audits Received' report and updated the tracking systemusing Microsoft GP in order to reflect the current status of each audit (as well as reconciling contact's billing information). In all, we processed about 1,874 audits between January 2007 and the end of June 2007. I also processed the archival copies of each audit, and updated information to reflect its release. I worked on multiple projects in addition to these duties. On behalf of the Assistant Deputy Auditor of AOS, I performed clerical duties supervising school districts' compliance with Jarrod's Law; consisting in receiving, documenting, archiving and file management of all reports submitted. Other projects include maintenance of a spreadsheet of specific citations against entities, maintaining physical copies of current and past contracts with independent public accountants, talking to and requesting from service organizations their Sarbanes-Oxley SAS-70 reports (including the handling of these sensitive materials, and researching the credentials of such these organizations using OBA, AICPA, and PCAOB resources).
